Past & Upcoming Appointments on Mobile

You can now view a client’s past and upcoming appointments on your mobile phone. Do clients occasionally call to find out when their next appointment is? Do you need to know details from a client’s last appointment in order to book their next one?

No more scanning endlessly through your busy calendar. Now you can quickly find the information you need to answer client questions and book their next appointment.

To view past and upcoming appointments on your iPhone or Android, click on the Clients tab, select the client you need and you’ll find all their upcoming and past appointments at the bottom of their client details page. Click on an appointment for notes and other details.

Benefits of Client Registration

When your clients register for a Full Slate account, they benefit in many ways…and so do you.

Full Slate does not require clients to register to schedule appointments online. But if your clients choose to register, which takes less than a minute, there’s much to gain. After they register, they will no longer have to re-enter their contact information each time they book an appointment. Even their credit card information will be available if you offer online payments. They’ll also be able to see all their past and upcoming appointments including the date, provider and service. And best of all, they’ll be able to cancel and reschedule any upcoming appointments within your cancelation rules.

You gain too when your clients register. Because clients can easily cancel and reschedule online, as well as see their past and upcoming appointments, they’re much less likely to call or email you. Further, when your clients log in to book an appointment, you can be assured their appointment will be matched with your client record, avoiding duplicates.

Clients are provided an opportunity to register after they book an appointment. You can also invite your clients to register by directing them to your registration page, which is at https://yourlandingpage.fullslate.com/register (just be sure to include your landing page in that web address).

You can determine if a client has registered for a Full Slate account by viewing their record under Clients > Details. At the top of the gray box on the right, it will either say “Not registered” or “Registered as [email protected]”.

We won’t market to your clients or sell their information to others, so go ahead and encourage your clients to register today!

Block Specific Clients from Scheduling Online

Now you can block specific clients from scheduling appointments online with you. Once you block a client from self-scheduling, they won’t be able to complete the online booking process after entering their name and contact information. Instead, they will receive the following message: “Your appointment is not booked yet. Online scheduling is unavailable. Please contact us by phone or email to complete booking.”

To block a client, simply go to their record under Clients > Details and check the “No self-scheduling online” box.

This is just one more way Full Slate lets you control your schedule and manage your business. Thanks to everyone who requested this feature!

Merge Duplicate Client Records

You can now merge duplicate client records to more effectively maintain contact information and track client history. Although Full Slate generally matches client-booked appointments with existing client records, duplicate client records are sometimes created. Now it’s easy to merge those duplicates into a single record to maintain contact information, past and upcoming appointments, and message history in one place.

To merge client records, go to the Clients > List tab, select the client records you want to merge (up to a total of five) and click Merge. Conflicting information will be highlighted so you can select what you want in the merged record. Click OK and you’re done!

Please note this operation cannot be undone, so review the information carefully before finishing.

Different Email Templates for Different Services

Ever want to send different messaging or instructions to clients based on the service they scheduled?  Now you can with service-specific automated emails.  When adding or editing an automated message (under Messages > Automatic Messages), you can specify which services you want the message to apply, as well as which message template to use and at what time interval.

There are a number of great uses of this feature:

  • Provide different instructions to new clients by creating a service (or services) just for new clients
  • Remind clients what to bring to appointments for specific services
  • Establish a different time interval for reminder or followup messages, based on the scheduled service

This is another example of a feature resulting directly from customer feedback.  Keep those ideas coming!

Find Openings on Mobile with Ease

You can easily find openings for a selected service when scheduling appointments on your mobile phone. You know the scenario: A client calls when you’re away from your computer and wants to know what times you have available. Now you can see at a glance all your openings for the service your client wants and know with confidence you can book it without disrupting your schedule.

To use the ‘Find Openings’ feature on Full Slate Mobile, go to the Schedule tab on your iPhone or Android and press ‘+’ for a new appointment. Select the desired service and press ‘Find Opening’. Just like that, you have a list of all the openings that meet the duration, setup/cleanup time and other booking parameters you’ve set. Select the opening that works best for the client and you’re done!

Credit Card Capture, Deposits & Payments

Full Slate now integrates with various payment processors so businesses can require clients to place a credit card on file, put down a deposit or pay in full in when scheduling appointments online.

Credit Card Capture

Now you can collect a credit card number from clients to hold an appointment time without actually charging the card at the time of booking. Full Slate integrates with several leading payment processors – including Stripe and Authorize.net – that provide the ability to securely store credit card information for later use. Credit card capture can cut down on no-shows and gives you a way to enforce your cancellation policy by charging a fee for missed appointments.

Deposits

Collecting a credit card number or payment in online schedulerAnother option is requiring a deposit – either flat fee or percentage of the cost of service – at the time of booking. Non-refundable deposits provide a guaranty that the client will show up similar to credit card capture, but are less susceptible to dispute and charge-back than fines applied after the fact. And, since the charge is processed immediately, you don’t necessarily need to have a merchant account that provides for secure storage of full credit card numbers.

Payments

Businesses that wish to require payment in full at the time of booking now have the option of using an existing merchant account and their choice of payment gateways. In addition to PayPal Payments Standard, Full Slate supports PayPal Payments Advanced and Pro with Checkout Express, Payflow, Authorize.net, and Stripe. These offer seamless integration, so clients can pay for appointments right in your scheduling widget or webpage without being handed off to another site.

Hide Client Names to Maintain Privacy

Do clients sometimes look over your shoulder when you’re scheduling their next appointment? Now you can maintain client privacy by hiding client names on your Schedule tab.

After wrapping up a session, a natural way to find an opening for the next appointment is to view your schedule in Full Slate. But if client privacy is critical to your business, then letting clients see your schedule — and therefore your other clients’ names — is not an option. With ‘Hide client names’, now it is.

All it takes is a couple of quick clicks. Just click ‘More’ on the Schedule tab and then ‘Hide client names’. Poof, client names are hidden and you can share your schedule with your client to find the best time for their next appointment.

Split Appointments Turn Downtime into Double Time

With ‘split appointments’ you can turn downtime during a client session into double-time by letting clients book the idle time. Do any of your services have an “intermission” when the client can be left unattended? If so, you can now open up that time as available so clients can schedule appointments online during the downtime.

If you’re a hairstylist that offers coloring services, you’ll love this feature. Now you can open up time in the middle of those long appointments when the client’s color is processing, so another client can book a short haircut or trim.

Or if you’re an acupuncturist, this feature is perfect for you. For example, if clients schedule 60-minute sessions, but you only need to be with the client for the first 30 minutes, you can open up the second half of the session for another client to book, resulting in overlapping appointments every 30 minutes.

To set up a service as a ‘split appointment’, click on the service under Setup > Services and click ‘split’. This presents three fields which represent the lengths of time you’re busy with the client, then free, then busy again. So, if you have a 2 1/2 hour service where you work with the client for an hour, then have an idle hour, then 30 minutes to wrap up with the client…you’d set the three fields to “1h | 1h | 30m”.
