Multiple Clients – One Email Address

Do you have clients who share an email address, such as a wife and husband, or mother and child? Wish you could create a separate client record for each individual while using the same email address? Now you can!

You can now create separate client records for each member of a family, while using the same email address for reminders and appointment confirmations. This way, the correct family member will be listed on your schedule…and clients will receive email reminders and confirmations addressed to the proper family member.

Moreover, if your client chooses to create a Full Slate account, they can add each family member to their account and easily schedule appointments for any member of the family. When a logged-in client schedules an appointment, they can choose the appropriate family member from a drop-down menu or add a family member as necessary. To ensure account security, they’ll still need to verify their email address as they set up new family members.

There are also a couple new bonus features:

1) You can now add multiple email addresses and multiple physical addresses to each client record; and

2) The client search feature is way faster and highlights positive search results. If you have a big list of clients, you’ll love this one!

These features are the result of customer requests, so, as always, thank you for all the feedback!

Changing Your Business Hours

You can change the days and times when your business is available to take appointments right on your Schedule tab. We recently moved this functionality from the Staff tab so that you can quickly and easily change your business hours and immediately see the results on your schedule.

With Full Slate, you have many ways to manage your business hours:

  • Expanding your hours to include Sundays? Arrow your schedule forward to the first week you’re open on Sunday and click the ‘Change hours’ button. Highlight the hours you’re open and select ‘Available’ recurring ‘Every week’ with no end date.
  • Only available every other Saturday? No problem. After clicking the ‘Change hours’ button, highlight the hours on the first Saturday you’re open and then select ‘Available’ recurring ‘Every other week’.
  • Do your hours change seasonally? Just apply an end date to the recurrence so your schedule will go back to your regular hours at the end of the season.
  • Need to mark holiday hours for every employee at once? Select all staff members on the left side of the schedule and highlight hours across all of their schedules.

And each staff member on your account can control their own hours regardless of their role (administrator, schedule manager, employee), so they have full control over their schedule.

Add Color to Your Schedule

Want to customize appointment colors on your schedule based on services performed? Now you can. With Full Slate, you’ve always been able to define a different color for each staff member in your business. Now, you can choose to instead define colors for each service. If you only offer a few services, you might make each one a different color so you can see what’s coming up with a quick glance at your schedule. If you offer a wide range of services, you might make each category of services a different color to help stay on top of your business. Choose from 12 colors from across the spectrum to keep your schedule organized…and looking sharp.

To customize colors, select ‘more’ at the top of your Schedule tab and click ‘color coding’. Decide if you want to color-code by provider or by service and then get creative.

Tracking 'No Shows'

When a client misses an appointment, you can now mark it as ‘No show’ and track it as part of the client’s history.

To mark an appointment as ‘no show’, just click the appointment on the Schedule tab and check the ‘No show’ box in the appointment details slider. The appointment will now display the ‘no show’ icon right on the calendar so you can see ‘no shows’ at a glance, and the appointment will be flagged as ‘no show’ in the client’s history on the Clients tab.

This new feature is the result of customer requests so please keep the great ideas coming.

The Full Slate Scheduling Widget

Clients can schedule appointments directly from your website with the Full Slate scheduling widget. Widgets are small, stand-alone applications that can be embedded in your website; all you need to do is add a bit of code where you want it to appear, similar to a video, slideshow or poll. And it’s now super easy to create a scheduling widget; just go to the Widget tab under Web in your Full Slate account and chose from the iFrame and JavaScript formats:

  • iFrame Widget — The Iframe widget works well on most website builders, blogs and social media sites. You can control its height and width, as well as the style, color and font from the “Look and Feel” tab.
  • JavaScript Widget — If you’re providing the widget code to a web designer, they may prefer the JavaScript widget because it automatically adopts the style of your website using CSS. Some do-it-yourself website builders don’t accept JavaScript, so it may not work everywhere. You can always give it a try and if it doesn’t work, revert to the iFrame widget.

Once you’ve created the code for your widget, simply copy and paste it onto your website or email it to your website designer. To ensure the scheduling workflow fits well within your website, you may want to have a dedicated “Schedule Online Now” webpage on which to embed the widget. Now you can point current and new clients to your website and know they can quickly and easily schedule appointments right there!

Follow-up Emails and More

Now you can automatically email clients after their appointment and even reach out to them for their birthday or when you haven’t seen them in a while.

Follow-up Emails

Because so many of you asked for it, we’re really excited about this feature. With automatic follow-up emails, you can thank clients for their business the day after their appointment and ask them to write a review on Yelp, Facebook, Google or anywhere else your business is profiled. Be sure to make it easy for your clients by providing links to your business profile or Facebook page. You can add another follow-up email that goes out a few weeks after the appointment to encourage clients to schedule their next appointment if they haven’t already done so. Follow-up emails are a great way to stay top-of-mind with your clients.

Birthday Greetings

Raise your hand if you’ve been planning to start sending happy birthday wishes to each of your clients but just haven’t found the time to make it happen. We just made it real easy to finally cross that off your ‘to do’ list. Now you can automatically send a birthday greeting to each of your clients — just customize the birthday email template and set up the automatic message. To encourage clients to tell you their birthday, you might consider offering a birthday discount!

Connect with Past Clients

Wish it was easier to stay in touch with clients who haven’t been in for a while? Now it is. Just set up an automatic ‘connect with past clients’ email and Full Slate will send an email to any client who hasn’t scheduled an appointment in the past three, six or twelve months.

New and Improved Alerts

New appointment alerts just got a lot better! You asked for changes in your email and text message alerts, so here you go.

Accept Appointments Directly from the Email Alert

Email alerts are a whole lot more useful now! First of all, you can ‘accept’ a new appointment just by clicking a link in the email. No need to log into your Full Slate account any more. This can be particularly useful if you access email on your mobile phone.

Moreover, the subject line of the email now contains key information about your new appointment, including the client’s name and date and time of the appointment. The body of the email is also formatted better so you can find the details in a glance.

No Time Limit on Text Message Alerts

Previously, you could only receive new appointment alerts via text message if the appointment occurred within the next two weeks. Now you can receive new appointment alerts on your mobile phone regardless of when the appointment takes place.

Be Alerted when Other Staff Members Schedule for You

Do other staff members sometimes schedule appointments on your behalf? You can now be alerted via email and text message when your colleagues book an appointment on your schedule.

Personalize Your Email Templates with Placeholders – Including a Handy New One: {services}

Placeholders are a simple but powerful tool which let you personalize communications with clients, send bulk emails, and customize appointment confirmations and reminders. You’ve probably seen placeholders in your Full Slate email templates; they are always bracketed like this: {name}. What do placeholders do? By example, with a template that starts with “Dear {name},” Full Slate will automatically fill in the client’s name so it reads “Dear Michelle,”. But have you ever explored placeholders to see all the ways you can personalize your emails to clients?

For starters, you can personalize any email template with the following placeholders:

  • {name} – First name of the client. Each recipient see their own name, so Lisa Jones sees “Lisa” in hers and Jim Collins sees “Jim” in his.
  • {full name} – Just like {name} except it includes both first and last name.
  • {my name} – First name of the Full Slate user who sends the message.
  • {my full name} – Just like {my name} except includes both first and last name.
  • {company name} – Name of your company as entered on the ‘Company’ tab.
  • {company link} – Link to your landing page for booking appointments as found on the ‘Marketing’ tab.

Of course, {name} and {full name} are critical if you want to personalize every email to each client. And the {my name} and {my full name} placeholders are important if you have more than one staff member in your business.

Moreover, you can further personalize any email template that applies to appointments, such as confirmations and reminders. These placeholders include:

  • {day} – The date of the appointment
  • {time} – The time of the appointment
  • {end time} – The time at which the appointment will be complete
  • {length} – The duration of the appointment
  • {appointment link} – A link that allows your client to manage the appointment
  • {services} – The names of the services to be performed at the appointment

New! The {services} placeholder is brand new and mighty useful if your clients tend to schedule different types of appointments and you want to be sure they scheduled the right one. For example, if you’re a hairstylist and some of your clients alternate between scheduling a ‘color’ and a ‘haircut’, you can use the {services} placeholder in your confirmation template so that it might read something like: “Your Women’s Haircut appointment with Vista Salon on Friday, October 29 at 3:00pm is now booked.”

And don’t forget, you can use placeholders in the subject line of your email templates too!

Import Your Client Records from Gmail and Constant Contact

New to Full Slate and maintain your client records in Google Gmail or Constant Contact? We’ve integrated with Google and Constant Contact to make it super easy to import your client records into Full Slate. Just go to Clients > List, click Import, select “From Gmail” or “From Constant Contact” and follow the easy instructions from there.

Once you’ve imported your client records, go to Clients > List and invite all your clients to start scheduling online. You and your clients will begin enjoying the benefits of online scheduling in no time!
