Track Appointment Status

You can now track the status of each appointment on your schedule. With our latest release, you can mark that your client has confirmed they’ll attend, as well as indicate when the client has checked in, when the appointment has been completed and when the client has no-showed.Appointment Status

To update the status of an appointment, simply click the appointment on the Schedule tab and click the Confirmed button and/or Checked In, Complete, or No Show button. Marking an appointment as Confirmed will add a checkmark icon to the appointment. And a separate icon will be added to indicate whether the appointment is in the Checked In, Complete or No Show status. That way you can see at a glance the status of each appointment.

    Noticed this yesterday, really cool! Does the appointment status show up on an exported file, or is it accessible through the API?

  2. What do each of these exactly mean? How are they activated? I had a client that was a no-show — but prior to the appt the “confirmed” box was checked. Did they actively respond to an auto-generated email? How was that box checked?

      Hi Drew – Thanks for the questions. The status fields can only be updated by you or staff members, so most likely a staff member checked the box, perhaps accidentally. You might use Confirmed if you ask clients to reply to reminder emails or if you call clients prior to their appointment. The Checked In status can be used to let other providers know a client is in the office ready for their appointment. The Completed status is used to indicate the service was provided to the client, and the No Show status is of course used to note that the client did not show for the appointment. The appointment status can be toggled among Checked In, Completed and No Show.

    Slightly off topic, but relevant: I would love love love it if we could actually get a confirmation button for clients to respond to, with those results coming back to us or posting somewhere. I ask my clients to reply for comfirmation in my reminder email, but maybe 10%-15% actually do, at best. I feel that they would be more apt to actually confirm if they had a button to press, ranther than respond to an email.

    I think this new feature is great, but the “checked in” and “completed” aren’t really relevant for a single therapist practice.

    Another off topic response here. Love the new additions, but I have to agree with Lisa, for a sole therapist, it may not be needed, I am sure however that with a larger practice the new features can be helpful. Are there plans in the future that S.O.A.P notes will be implemented into the back office for Therapist? or a WAIT LIST for clients? Great job, I have tried other programs but Full Slate still is my one and only!

    Does this new feature provide a history of attendance for clients?

      Zena, yes the attendance status is marked on each appointment so you can look back at a client’s attendance history under Clients > Details or be exporting appointments to Excel for analysis.

    Love this idea, but it isn’t useful for me at my office, as I only have access to the mobile site on my cellphone when I am there. Are there plans to add these features to the mobile site?

    one area I find easy to lose track of is ‘cancelled and still need to reschedule’ clients …. I know ‘cancelled’ is listed in the alerts column, and if they rescheduled, it would show up there. If those who cancelled, and a week or two has gone by without rescheduling, maybe another alert/reminder message could ‘prompt’ me to contact the client again, before too much time goes by. So..cancelled/rescheduled and cancelled/need to rescheduled and canclled/DO NOT RESCHEDULE could be more options on the new appointment tracking area.

    I would like to add that I only work off of my iphone/ipad and therefore these features would only be useful to me if they were available on the mobile app. Also, I agree that if clients had a simple “click” to confirm than for a solo therapist this would be the only way a confirmation tracking would be useful. Also I love the idea of SOAP notes, but especially love the idea for wait-list!
