Updates to Staff Management in Full Slate

Hello Full Slate Users,

Exciting new changes are here! To help you better manage your staff and schedules, Full Slate is launching an update on how you can configure your team. You will now efficiently address current and former staff, and adding managers, admins, and front office staff has never been easier! Best of all, these changes will not interfere with your monthly or annual subscription plan.

So what exactly is new? Under Setup → Staff a Staff Status field will be added to each staff profile with the options to select Active, Inactive, or Manager. Here is an explanation of each status and how they will affect the schedule and billing:  

  • Active: This status is for staff actively taking appointments. This user will be visible on the Schedule, and depending on if they perform services or not, appointments can be booked internally or online by clients. A two-way calendar sync is available. This user will count towards a monthly or annual subscription plan.
    • Performs All Services: Appointments can be booked internally or online
    • Performs select services: Appointments can be booked internally or online
    • Performs No Services: Appointments can only be booked internally

  • Inactive: This status is best used for former staff. This user will be visible on the Schedule tab but not bookable for new appointments (any appointment history will remain intact). Only a one-way calendar sync is available from this Full Slate schedule to an external calendar. This user will not count towards the monthly or annual subscription plan.
    • Performing All or select Services or No Services does not affect this user’s status.

  • Manager: This status is for managers, receptionists, and staff not taking appointments. This user will not be visible on the Schedule tab and will not be bookable for appointments. Only a one-way calendar sync is available from this Full Slate schedule to an external calendar. This user will not count towards the monthly or annual subscription plan.
    • Performing All or select Services or No Services does not affect this user’s status.

Some Tips: 

As long as users are listed as Active, nothing will change. Any user that needs to be scheduled online or internally on the Schedule tab must be listed as Active (make sure that you check which services they perform).  

For any users that are only booked for appointments internally, they MUST be set to Active.

Only Active status allows for two-way calendar sync. Inactive or Manager status are only allowed one-way calendar syncs – since they are not taking appointments.

PLEASE NOTE!  This update will take effect as of July 22, 2021. Any user listed as ACTIVE will count towards your billing. To avoid any sudden invoice amount increases, please email [email protected]. Updates to Authorize.net

Authorize.net has made security improvements to the way they accept payments!

You will have a window, from 03/21/2018 to 04/06/2018, to ensure uninterrupted client payments. If you happen to miss the window, no worries. You will still be able to accept client payments – just make sure to follow these steps as soon as possible:

1. Log in to Authorize.net.

2. Click the “Settings” link under the “Account” section.

3. On the Settings page, click the “Manage Public Client Key” link under the General Security Settings section.

4. Enter your Secret Answer to the Secret Question and click Submit button to create a new client key.

5. Select and copy the newly created client key.

6. Sign into the Full Slate app.

7. Navigate to the Setup -> Client Payments tab.

8. Paste your client key to the “Client Key” text box and click Save.

Our Gift Certificates and Packages are getting a little facelift!

While this is not an Extreme Makeover, we have managed a little nip and tuck to the way our Gift Certificates and Packages look to your clients.

For several years we have offered an additional service with Full Slate whereby you can create and sell gift certificates and packages. More on that feature can be found via our Help Center 

While this is a great feature, we know that it was due for a bit of an upgrade, so we have added some changes to make them more visually appealing.

So what has changed?

Here is the what our certificates have looked like.

Starting today, your logo will now appear on the certificate.  This is the logo featured in your company settings found via Setup >  Company Details.  Your company name will appear beneath the logo.  Information about your Landing Page address, the redemption code, and the expiration dates will appear on the black bar.

A few other tweaks were made so that the vouchers look more streamlined than before.  Another change was to limit the characters used in the description of the product and the length of your title of services.  A character-counter was added, so when you are creating these items, the system will let you know how many characters you have left.

Online Scheduling on Google Live

Online scheduling on Google is now live for Full Slate customers.

If you have previously enabled it, but do not yet see online scheduling appearing in search results for your business, make sure your business name, address and phone number are up-to-date in Google My Business and match what’s in Full Slate under Setup > Company.

If you haven’t enabled it, you can do so under Web > Google. More on this feature in our original blog post.

Please note this feature is not yet available to companies with multiple locations or those with multiple providers where a provider is selected before a service.

See Past Dates on Full Slate Mobile

You can now view and book events on dates in the past on Full Slate Mobile.

If you scroll up on the ‘Schedule’ tab just slightly, you’ll see a ‘Load earlier dates’ button. Tapping this button will load a week at a time.

If you want to jump farther back into the past, you can select the ‘calendar’ icon in the top-left of the ‘Schedule’ tab, then go to the month and select the date you wish to load. The schedule will then refresh to this date.

If you need to make an update to a past event, check on any details, or even log a historical event, you can now do so right from Full Slate Mobile, accessible at m.fullslate.com.

Online Scheduling on Google

Full Slate has partnered with Google to enable online booking directly from Google search results. Now when clients or prospective clients find your business on Google, they can see that you offer online scheduling and begin the booking process right there.

All the same booking rules and details apply, and there is no extra charge for appointments made through Google.  We’re all for innovation that makes scheduling simpler and encourage you to give it a try.  Just go to Web > Google and flip the switch to “Yes.”

Once enabled, it generally takes Google 2-4 days to add online booking for your business, and there is no guarantee the “Book an appointment” section will show up for your business. To increase the odds of online scheduling appearing in search results for your business, make sure your business name, address and phone number are up-to-date in Google My Business and match what’s in Full Slate under Setup > Company.

Please note this feature is not yet available to companies with multiple locations or those with multiple providers where a provider is selected before a service.

Client Payments Now Displayed on Full Slate Mobile

Now you can see on your phone if clients have paid for appointments and classes.  Under price, we’ll add up any payments made by credit card, gift certificate or package, and Checkout to show the total amount a client has paid.

This can be especially handy when you meet with your client(s).  Knowing about any deposits, online payments or vouchers lets you quickly determine how much you need to collect at the time of service. We hope this enhancement to our mobile site makes it easier to run your business while you’re on the go or don’t have access to a tablet or computer.

Conflict Alerts Now Available on Mobile

Conflict alerts are now available when accessing Full Slate on your mobile device to help avoid inadvertent double-bookings.

Whether you’re scheduling an appointment, class, or personal event on mobile, Full Slate will display a conflict report that shows up prior to scheduling the event. Just select the day/time of the event, and if there is a conflict they will be displayed in the ‘Conflicts’ section, as shown below. If there is no conflict, ‘None’ will be displayed.

Skip to a Future Date on Mobile

It’s now easy to skip to a future date on your schedule when using Full Slate on your mobile phone. If you have a busy schedule, you no longer need to scroll endlessly to get to the date you need, saving time and ensuring accuracy.

To skip forward, click on the ‘calendar’ icon in the top left of the ‘Schedule’ tab.

This will open up a date selector, where you can choose the specific date to which you want to jump. Even better: at the end of a session, if your client wants to schedule their next appointment four weeks out, just click the number “4” to jump to four weeks from today on your schedule. No need to count with your fingers and toes; with a single click, you can be confident you’re on the week you want.

Please note the ‘Show Availabilities’ setting has been moved to the top right of the ‘Schedule’ tab, next to the ‘Add Appointment’ button.
